Introduction
An add-on is anything a customer can have on top of the vehicle itself: a child seat, a second driver, a lower insurance excess, a bundle of extra kilometres. RentVisie sorts every add-on into one of three kinds, and each kind has its own list and its own tile on the screen headed Product design:
| Kind | Tile | The list is headed | Typical examples |
|---|---|---|---|
| Extras | Optional options | Optionals | Child seat, snow chains, extra driver, cleaning fee |
| Insurance | Insurance options | Insurances | Standard cover, all-risk with no excess |
| Mileage packages | Mileage options | Mileage packages | 100 extra km a day |
Each list is a table with a New button above it and a pencil and a bin icon on every row. A fourth tile, Option categories, holds the headings your website groups extras under. An add-on's price sits on the add-on itself and, optionally, in a price list under Option pricing — the price list wins when it applies.
You come here when:
- you are starting to rent out child seats and need an add-on for them;
- the insurance company has changed its premiums and your cover prices must follow;
- extras should cost less in the quiet season, or be capped on long rentals;
- a customer asks why a child seat cost €60 on a ten-day rental;
- you are just checking what you offer and at what price before the season starts.
Terms used on these screens
| The screen says | It means |
|---|---|
| Optional option, Optionals, Extra | An extra. The app uses all three names for the same thing |
| Option, Options | Any add-on, of any of the three kinds |
| Asset group | Vehicle class |
| Per rent | Charged once per rental, whatever its length |
| Global pricing periods fixed, Period (in a price list) | A duration band, such as 4 to 7 days |
| Pricing period | A dated stretch of the calendar, such as Summer 2026 |
Come here to create and price add-ons. Putting one on offer is a separate step: Offer an add-on and add it to a booking.
How to use
Configuration
Two things are set up away from the add-on's own screen: the categories extras are grouped under, and any price-list price that should replace the add-on's own price.
Group extras by category.
- From the main menu, open Admin, then Product design, then click the Option categories tile. The screen is headed Option categories.
- Click New Option category. A window headed Edit Option Category opens.
- Type a Name, such as Child safety or Winter equipment. Leave is enabled for web on, as it starts.
- Click Save.
To use the category, open an extra, insurance or mileage package and pick the category in its Option category box. Categories are sent to your website together with each add-on, so the website can show extras under headings. The booking screen staff use does not group by category. To rename a category, click the pencil icon on its row; the bin icon deletes it at once, without asking.
Give an add-on a different price in one price list. Skip this if the add-on should cost the same on every booking.
- From the main menu, open Admin, then Pricing. The screen is headed Pricelist overview. Double-click the price list, then click the Option pricing tile.
- On the screen headed Extra Price Rule, open the tab for the kind of add-on: Insurances, Packages or Optionals.
- Click the pencil icon at the end of the add-on's row. A screen headed Pricing rules Quick populate opens.
- Pick a dated period in Pricing period. The table fills with one row per duration band, with the columns Period, Price, PriceType and MaxPrice. A blank Price means no price has been set for that band yet.
- Click the pencil icon on the band's row. A window headed Edit Extra Price Rule opens. Fill it in as follows:
| Field | Starts as | What it does | What it accepts |
|---|---|---|---|
| Extra price type | PerDay | PerDay charges every rental day, PerRental once per booking, PerMileage per kilometre driven | One of the three |
| Period, Months, Period base price | Day, empty | Type the price for a day, a week or a number of months. The app turns it into a price per day | Amounts in euro; Months only appears when Period is Month |
| Price | Calculated | The daily price the app worked out. You cannot type in it | Nothing |
| Max price | 0 | The most a per-day add-on can cost on one booking. 0 means no limit | An amount; it must not be empty |
- Click Save. The row in the table now shows the price.
To remove a price-list price, click the bin icon on its row in Pricing rules Quick populate. The add-on then falls back on its own price.
Before you start: everything on this page needs the Company admin role. The Product design and Pricing screens are not open to an ordinary Employee account. An add-on you create belongs to your own company only.
Creating an add-on does not yet put it in front of anyone. It must be linked to the vehicle classes that offer it, and each class has switches — Insurance, Mileage package and Optional — that decide whether the booking screen shows the Insurances, Mileage packages and Optionals buttons at all. They start switched off. See Set up your vehicle classes.
Using the add-on screens
From the main menu, open Admin, then Product design. Click Optional options, Insurance options or Mileage options, depending on the kind.
- Find or create the add-on. Click New for a new one, or the pencil icon at the end of a row to change an existing one.
- Name it. Type a Name — this is what staff and customers see on a booking — and, if you like, a Description and an internal reference for your own use.
- Pick a category. Choose one in Option category, or leave it empty.
- Set the price. The price boxes sit in the right-hand column of an extra's screen:
| Field | Starts as | What it does | What it accepts |
|---|---|---|---|
| Price type | Per day | Per day charges every rental day; Per rent charges once per booking | Per day or Per rent |
| Period | Day | Tells the app what the next box is a price for: a day, a week or a number of months | Day, Week or Month |
| Months | 1 | Only appears when Period is Month | Whole numbers |
| Period base price | 5.00 on a new add-on | The price you want to charge for the period you picked | An amount in euro; 0 for a free extra |
| Base price/ day (calculated) | Filled in for you | The daily price the app stores and charges from. You cannot type in it | Nothing |
| is vat | Yes | Yes adds value-added tax (VAT) at your company's high rate; No charges the price without VAT | Yes or No |
| max selectable | 1 | The largest quantity a customer can pick on your website | Whole numbers of 1 or more |
- Click Save. The app returns you to the list. If something is missing you stay on the screen, with a message under the field: "Name is empty", "Base price should be greater than 0" (shown for a negative price), or "max selectable should be greater than 0".
For a plain extra, leave Option special on General; it and Non return fee are covered in Set up a damage fee, young driver surcharge or other special add-on. The web, icon and asset-group boxes are covered in Offer an add-on and add it to a booking.
The three kinds differ in a few boxes:
| Extras | Insurance | Mileage packages | |
|---|---|---|---|
| Price type box | Yes | Yes | No — per day on the package; per rental only through Option pricing |
| Can be free (€0) | Yes | Yes | No — the price must be above 0 |
| max selectable | Yes | No | No |
| Boxes of its own | Option special, Non return fee | Deposit, excess, what is covered — see Set up the insurance a customer can choose | Kilometres included — see Sell extra kilometres to a customer |
A free add-on. Type 0 in Period base price and save. It still appears on the booking, at €0.00 — useful for a free second driver you want listed. A price under Option pricing would still win, so give it none there.
Changes here never touch bookings that already carry the add-on: the price is copied onto a booking when the add-on is added to it.
Key details
Which price wins
When an add-on is put on a booking, the app first looks in the booking's price list, under Option pricing, for a row whose duration band is the booking's band and whose dated period overlaps the booking's dates. If it finds one, that row's price, Extra price type and Max price are used. If not, the add-on's own Base price/ day (calculated) and Price type are used, with no maximum.
A worked example. Your Child seat extra costs €6.00 a day on its own screen. In your standard price list you give it €5.00 a day, Max price €30.00, for the Summer 2026 period in the 4 to 7 days band. Amounts are before VAT.
| Booking | Price-list row matches? | Charged |
|---|---|---|
| 5 days in July | Yes | 5 × €5.00 = €25.00 |
| 6 days in July | Yes | 6 × €5.00 = €30.00, exactly the maximum |
| 7 days in July | Yes | 7 × €5.00 = €35.00, capped at €30.00 |
| 10 days in July | No — 10 days falls in another band | 10 × €6.00 = €60.00 |
| 5 days in October | No — outside Summer 2026 | 5 × €6.00 = €30.00 |
Per day or per rental
The app stores a price per day. €35.00 with Period on Week is stored as €5.00 a day; Month divides by 30 per month. On reopening, Period is back on Day, showing the daily figure. For a Per rent add-on, leave Period on Day and type the whole price: snow chains at €25.00 per rent cost €25.00 for two days or two weeks.
What to do next
A new add-on is not on offer anywhere yet, so link it to its vehicle classes next: Offer an add-on and add it to a booking. Add price-list prices after that, if you need them.
Q&A
Why was a customer charged the full daily price on a long rental, when the price list has a maximum? The maximum sits on one price-list row, for one duration band and one dated period. A booking in another band, or outside that period, falls back on the add-on's own price, which has no maximum. Open Admin, Pricing, the price list, Option pricing, and give the add-on a row for every band and period it should be capped in.
Why did a Per rent add-on come out far cheaper than I typed? Period was not on Day. With Week chosen, €70.00 is stored as €10.00 a day, and a per-rent add-on is then charged that €10.00 once. Open the add-on, set Period to Day, type the full price in Period base price and save. Bookings that already carry it keep the wrong price; change those with Adjust the price on a booking.
Why has an add-on disappeared completely after I clicked the bin on the Option pricing screen? The bin icon on the Insurances, Packages and Optionals tabs deletes the add-on itself, not its price, and it does not ask first. To remove only a price-list price, open the pencil icon on the row and use the bin inside Pricing rules Quick populate instead. A deleted add-on has to be created again from Product design.
Why did I get a price other than the one I set on the add-on? A price-list row applies to that booking. Check the booking's price list under Option pricing for a row matching its band and dates, as described in Which price wins.
Why can staff add three child seats when max selectable is 1? max selectable is only used by your website. The Quantity box on the booking screen accepts any number, so staff have to keep to the limit themselves.
Why is VAT added to an extra that should not carry any? is vat is on. It starts on for every new add-on. Open the add-on, set is vat to No and save. Bookings already made keep the VAT they were given.
Why won't a mileage package save at €0? Mileage packages must have a price above 0. To give kilometres away, raise the included kilometres on the vehicle class instead — see Set rates and mileage prices for a vehicle class.
Why can't I find a new add-on on the booking? It is not linked to the booking's vehicle class, or the class has the button for that kind switched off. See Offer an add-on and add it to a booking.
