Introduction

The revenue reports tell you where your money comes from. Click Dashboards in the main menu to reach a page headed Dashboards: a grid of tiles in labelled groups, General at the top, then Utilisation, By location (invoice), By location (general), Damages, Operational and Other. Eleven tiles are revenue reports; each opens a table of figures, most with a chart underneath.

You will use them when:

  • you just want a picture of how the business is doing this month or this year
  • you are deciding whether a location, class or vehicle earns enough to keep
  • a customer asks for a better rate and you want to see what they have spent with you
  • your bookkeeper asks why the booked and invoiced figures do not match

The screens use these words:

Booked or invoiced. A booking-based report adds up the price on your bookings, billed or not. An invoice-based report adds up only invoices you have issued. The two rarely agree, and that is normal — see Booked versus invoiced.

The first six tiles sit under General, the next three under By location (invoice) and the last two under By location (general). So Locations revenue appears twice, with different figures: one counts invoices, the other bookings. Extras, insurance and mileage packages sold are in Add-ons and promotions sold.

How to use

Configuration

There is nothing to set up. The reports read the bookings, invoices, locations, classes and vehicles you already have.

Before you start: the Dashboards menu item and every report on it need an administrator account. If Dashboards is missing from your main menu, or a tile opens with an access error, ask whoever manages accounts in your company — see Add an employee and set their permissions. Location reports count a booking's money under its pickup location: a one-way rental picked up in Utrecht and returned in Amersfoort counts entirely under Utrecht.

Using the revenue reports

From the main menu, click Dashboards, then click the tile for the report you need (see the table above). Back, top left, returns you to the tiles. There are three kinds of report screen:

1. The all-time reports — LTV Customer (booking), LTV Customer (invoice), LTV location, Revenue / Group / Month and Revenue / Asset / Month.

  1. Click the tile. The table fills straight away; there is no date box and no button.
  2. Type in the filter box above a column to narrow the list — a name, location, class or number plate. Number columns take an exact amount.
  3. Click a column heading to sort. The two LTV Customer reports open with your biggest customer at the top.

2. The reports with a date range and Retrieve data — Revenue customer (invoice), Locations revenue in By location (invoice), Bookings by location and Bookings by location (b2b vs b2c).

  1. Fill in From and To. Both boxes start empty.
  2. Click Retrieve data. The table fills, and the box at the top (Total, Total revenue or Total count) shows the grand total.
  3. On Revenue customer (invoice) and Locations revenue, the two buttons next to Retrieve data are Reset filters, which empties the column filters, and Export, which downloads the table as a spreadsheet — see Exporting a report.

3. The reports with a date range and Populate — Locations revenue in By location (general), and Asset revenue.

  1. Set From and To. They start on the current week.
  2. On Asset revenue only, pick a Location. Every vehicle gets a row, including those that earned nothing there.
  3. Click Populate. The table and bar chart fill in.
  4. To export, tick the rows you want and click Export selected to Excel.

Nothing on these screens changes a booking or an invoice; the figures are worked out fresh each time.

A cancelled booking counts only its cancellation fee, if any — see Cancel a booking.

Month means the month number only. On Revenue / Group / Month and Revenue / Asset / Month, the Month or Order date column shows 1 to 12, from the pickup date, so every January you have ever had is added together. For one year, use Asset revenue in By location (general) with your own dates.

The longest period is a year. On the Retrieve data screens, 1 January 2026 to 1 January 2027 (365 days) works; to 3 January 2027 (367 days) shows Max period is 365 days and leaves the table empty.

The booking counts ignore your dates. Both Bookings by location reports check that From and To are a year or less apart, but always count every booking since you started using the app that has at least one numbered invoice.

Booked versus invoiced

Worked example — Bakker Bouw BV has three bookings with you:

  • LTV Customer (booking): B subtotal €1,550.00, B total price €1,875.50 — all three bookings.
  • Revenue customer (invoice), 1 January to 30 September 2026: Invoiced revenue €1,000.00 — the April invoice, without VAT.
  • A €100.00 credit note in June (excluding VAT) brings Invoiced revenue down to €900.00; LTV Customer (booking) stays at €1,550.00.

The gap is work booked but not yet billed, plus the credit — see Invoice a booking.

What to do next. For the monthly figure your bookkeeper expects, start with Locations revenue in By location (invoice) — it matches your issued invoices. Use the booking-based reports for planning and for spotting work that is booked but not yet billed.

Q&A

Why does the total on the invoice report not match my accounting package? The invoice-based reports show amounts without VAT. Locations revenue in By location (invoice) also leaves out invoices that are not linked to a booking, such as a manual invoice for a sold item. Revenue customer (invoice) includes them, because it counts by customer. Compare the same kind of total, over the same dates.

Why does a customer's revenue look too high on LTV Customer (booking)? It includes bookings that are not yet confirmed, bookings in the future, and no-shows. It is what the customer has booked, not what they have paid. For money actually billed, use Revenue customer (invoice).

Why does LTV Customer (invoice) show more than Revenue customer (invoice) for the same customer? LTV Customer (invoice) also counts invoices that are still in draft, and it covers all time. Revenue customer (invoice) counts only numbered invoices in the period you chose.

Why did I get "Max period is 365 days"? From and To are more than a year apart. Split the period in two and add the results, or use Locations revenue in By location (general), which has no limit.

Why is the table empty after I clicked Retrieve data? Check that both From and To are filled in and that the period is a year or less. If they are, nothing was invoiced in that period.

Why does Asset revenue stay empty when I click Populate? No Location is picked. Choose one and click Populate again.

Why is there no chart on Revenue customer (invoice)? That screen shows the table only. To chart it, click Export and make the chart in your spreadsheet.

Why did the booking counts not change when I changed the dates? The counts on Bookings by location always cover all time — see The booking counts ignore your dates under Key details.

Why does a vehicle or class I no longer use still appear? The reports include everything that ever had a booking. Filter on the column to hide it, or read past it.

Why do the invoice reports show revenue from before we started using the app? Bookings carried over from your previous system with their invoiced amounts are included in Revenue customer (invoice) and the invoice-based Locations revenue. They are counted on the return date, with VAT taken off at 21%. This is expected.

Why can a colleague not open Dashboards? Only an administrator account can. See Add an employee and set their permissions.
