Change which tiles your dashboard shows

Introduction

Your daily overview is not fixed. Behind it sits a panel of eighteen switches, one for each counter and each list on the screen, and every one of them is yours alone. Switching Overdue off takes it off your screen and nobody else's; switching it back on brings back a live number straight away.

This matters more than it sounds, because six of the eighteen start switched off for everybody. If you have never opened the panel, there are counters and a whole inspection list you have simply never seen.

You will use it when:

  • your screen is cluttered with counters you never act on
  • a colleague mentions a tile you do not have
  • you have taken on inspections or invoicing and want those numbers in front of you

Steps

Before you start: nothing here needs special rights — every signed-in member of staff can change their own tiles, and no change touches anybody else's screen. You do need to be on your daily overview, the screen headed Operational manager.

  1. Open the settings panel from the handle at the edge of your daily overview. It slides in over the screen, about a quarter of it on a desktop and nearly all of it on a phone.
  2. Work down the Aggregations group: each counter has a Yes/No switch.
  3. Carry on into the Lists group for the four tables underneath.
  4. Click Save. The panel closes and your screen redraws with the counters you kept.
  5. To back out, click Cancel or click anywhere outside the panel.

What you get before you touch anything. Fifteen of the eighteen are switched on the first time you sign in; the other three are off until you turn them on yourself:

Four switches are worded differently from the tile they control. Look for the switch name rather than the tile name, or you will hunt for something that is not there. The pairs are listed on your daily overview page, which is where the tiles themselves are explained.

Your settings follow you, not the computer. They are stored against your staff record, so signing in from the back office, the counter machine or a phone gives you the same tiles every time. Clearing your browser or borrowing somebody else's computer changes nothing — and equally, sitting at a colleague's desk shows you their tiles, because it is their sign-in, not their machine, that decides.

Nothing needs setting up first. The first time you open your daily overview, a set of settings is made for you with those twelve switches on, and it is made again the moment somebody first saves your staff record. That is why a colleague who started this morning already has a working screen rather than an empty one.

A Lists switch removes the whole table. The four switches in the second group are not column choices — each one controls an entire working table underneath the counters. Turn Pickup list off and today's pickups stop being listed by name, while the Pickups counter above stays, because that is a separate switch. Losing the list is what costs you the customer names and times, so turn these off last.

The inspections list is the one worth turning on. ASI due within 30 days is off by default, and it is the only place the app tells you a roadworthiness test is coming up. It lists every active vehicle in the company whose inspection falls due between now and thirty days from the end of today — and every one already past due, however long ago. Soonest first, with the days left in brackets.

A negative number in brackets means the date has gone by. On 6 September, a van due on 2 September shows as (-4) and sits at the top of the list; one due on 30 September shows as (30) at the bottom. Both are on the same list, so read the brackets before you read the order.

A vehicle drops off the list once it is booked in. As soon as an inspection job exists for that vehicle and has not yet been carried out, the vehicle stops appearing here — that is how you tell "nobody has dealt with this" from "it is in the diary". So a shrinking list is progress, not vehicles going missing. A vehicle with no inspection date recorded at all never appears, whatever its state.

This list ignores your locations. Most counters on the daily overview are cut down to the locations on your profile. This one is not: it covers every active vehicle in the company, so you and a colleague at another branch see exactly the same inspection list. The same is true of Available assets, Transports and Maintenance.

What to do next: turn on ASI due within 30 days and Inspection control if nobody else at your branch is watching them, then work the negative numbers first — those vehicles are already out of test. Leave the counters you never click switched off; a shorter screen is read more often than a complete one.

Tips and common issues

  • A colleague has a tile you do not. Nothing is wrong: these settings are personal. Ask which switch they used, then set it yourself. There is no way to push your layout onto somebody else, or to see theirs.
  • You switched something off and now the work is being missed. Turning a tile off hides the number, not the job. Overdue vehicles stay overdue and unsent paperwork stays unsent whether or not you are looking at the counter. Only switch off what somebody else is definitely watching.
  • You clicked Cancel but the screen still looks changed. Only Save stores a change; Cancel and clicking outside the panel close it without saving. If the tiles still look wrong afterwards, reload the page and they come back as they were saved.
  • You turned on a tile and it shows zero. That is usually a real zero. Inspection control only fills up when a customer has reported a vehicle back and nobody has checked it in yet, and Contact only when a request is genuinely waiting.
  • The inspection list is empty but you know a test is due. Either the vehicle is already booked in for it, or no inspection date has ever been recorded against the vehicle. Check the vehicle itself before assuming the list is broken.
  • The list looks short compared with the fleet. It stops at thirty days ahead. A test due in five weeks is genuinely not on it yet and will appear on its own.
  • The panel will not open on a phone. It takes up almost the whole screen when it does open, so it is easy to think nothing happened — scroll to the bottom of the panel for Save and Cancel rather than reaching for the handle again.
