Introduction
Every vehicle has to pass a statutory safety inspection at regular intervals, the roadworthiness test the app calls the ASI (in Dutch, the APK). The screen headed ASI Overview lists every vehicle with an inspection date or an inspection appointment, one row per vehicle, soonest due first. On the right of each row is a Flags column. Most of the time it is empty. When something about that vehicle's inspection needs a person to look at it, the app writes a short warning there, such as Appointment is after the deadline. This page explains each warning, what caused it and how to make it go away.
From left to right the columns are Registration, Licence plate, Make / model, ASI due, Days, Status, Planned and Flags. At the end of each row is a Plan or Mark executed button.
You would be here because:
- you check on Monday that every inspection this month is in hand
- a row says Appointment date passed - not yet recorded and you don't know if the van was actually tested
- the garage moved an inspection to the following week and now the row shows a warning
- a colleague booked the inspection in the maintenance planner and the list calls it Created outside ASI planning
- a vehicle you know is due is not on the list at all
Words this screen uses
The list uses these words:
| The screen says | What it means |
|---|---|
| ASI | The statutory safety inspection (APK) |
| ASI due | The date the current inspection certificate runs out |
| Days | Days until that date; a negative number means it has passed |
| Planned (status) | An inspection appointment exists and has not been recorded as done |
| Unplanned | No open inspection appointment for this vehicle |
| Plan / Mark executed | Book the inspection / record that it was done |
| RDW (on the Record ASI screen) | The Dutch vehicle registration authority, where official inspection dates come from |
This page covers the warnings only. To book or record an inspection step by step, see Keep track of statutory safety inspections.
How to use
Configuration
The warnings have no settings of their own. The app works them out again every time the ASI Overview opens, from the vehicle's inspection date and its inspection appointment. Two things decide whether a vehicle shows up at all:
- The vehicle has a date in the ASI box on its own form, and its Active switch is on. See Add a vehicle to the fleet.
- For staff who are not company administrators, the only way to the list is the ASI due within 30 days section on the daily overview. That section is off by default. Switch it on as described in Change which tiles your dashboard shows.
Before you start: any staff account can open the list and use Plan and Mark executed. The ASI tile under Admin is only there for a company administrator. To move or delete an appointment you need access to the maintenance planner, see Book a vehicle in for a service.
Using the inspection list
Get to the list in one of two ways:
- From the main menu, open Operational to reach your daily overview. In the ASI due within 30 days section, click Go to overview.
- A company administrator can also go to Admin → Assets and click the ASI tile.
- Look down the Flags column. A row can carry more than one warning at a time.
- Find the warning in the table below and do what the last column says.
- Close the screen with Back and open it again to see the flags updated.
Skim this table once; afterwards you only need the row for the warning in front of you:
| Warning | What happened | What to do |
|---|---|---|
| Overdue | The ASI due date has passed (Days is below zero) | Plan the inspection straight away, or record it if it was done |
| Appointment date passed - not yet recorded | The inspection appointment has ended, but nobody pressed Mark executed | Check with the garage. If it was done, click Mark executed. If not, move the appointment to a new date |
| Appointment is after the deadline | The appointment starts on a later day than the ASI due date | Move the appointment to the due date or earlier |
| ASI date changed since planning | The vehicle's inspection date was changed after the appointment was made | Check that the appointment still falls on or before the new date |
| Created outside ASI planning | Someone booked an appointment with the type ASI in the maintenance planner instead of using Plan | Nothing, as long as the date is right. See the Q&A if Mark executed fails |
| Appointment was removed | The vehicle was planned from this list, then the appointment was deleted | Click Plan to book it again |
| Manually entered | The current ASI due date was typed in the app when the last inspection was recorded, not taken from the RDW | Nothing, unless the date is wrong. Then correct the ASI box on the vehicle form |
To move an appointment, open it in the maintenance planner and change From and To. See Book a vehicle in for a service.
Key details
Worked example. Today is Tuesday 6 October 2026. The Ford Transit VX-123-B has an ASI due of 14 October, so Days shows 7 and the row has no flags. You click Plan. The app proposes 14 October, 08:00 to 23:59. The garage is full that day, so you change it to 15 October.
- Back on the list, the row shows Planned and Appointment is after the deadline, because 15 October is a later day than 14 October. An appointment on 14 October itself, at any time, would not raise this warning.
- On 15 October the van has passed its due date. From that day the Days column goes negative and Overdue is added.
- Suppose the test happens on 15 October but nobody records it. From midnight at the end of 15 October the row also shows Appointment date passed - not yet recorded.
- The day someone clicks Mark executed and enters the new expiry date, all three warnings go. Status returns to Unplanned with the new date, and Manually entered now appears.
When each warning goes away:
| Warning | Goes away when |
|---|---|
| Overdue | A new, later ASI due date is recorded |
| Appointment date passed - not yet recorded | You click Mark executed, or move the appointment's end to a later date |
| Appointment is after the deadline | The appointment's start moves to the due date or earlier, or the due date changes |
| ASI date changed since planning | The inspection is recorded with Mark executed, or the appointment is deleted and planned again with Plan. Moving the appointment does not clear it |
| Created outside ASI planning | The inspection is recorded, or that appointment is deleted |
| Appointment was removed | You plan the vehicle again with Plan and save |
| Manually entered | Someone types a different date in the ASI box on the vehicle form |
Why a date counts as "manually entered". When you record an inspection, you type the next expiry date yourself on the Record ASI screen. The app marks that date so you can tell it apart from one that came from the RDW. The note on the Record ASI screen says a later RDW lookup will replace the date. However, the app only looks a vehicle up at the RDW when the vehicle is first added. So in practice the flag stays until someone changes the date on the vehicle form. Check the date against the inspection report once. If it matches, leave the flag alone.
Status only has two values here. This list only ever shows Planned or Unplanned. When an inspection is recorded, the row goes back to Unplanned with the next due date. The inspection history is not shown on this list.
What to do next: deal with Overdue rows first, because that vehicle must not go out on hire. Then do Appointment date passed - not yet recorded, where the only question is whether the test happened. Then fix Appointment is after the deadline before that date comes. Manually entered can wait until you have a quiet moment. To book or record an inspection, go to Keep track of statutory safety inspections.
Q&A
Why can't I get the Overdue warning to go away after the vehicle passed its test? The test was not recorded. Click Mark executed on the row and enter the new expiry date. Changing the appointment or adding a maintenance log does not update the inspection date. To keep a record of the work done, see Record work done on a vehicle.
Why does Mark executed show an error on a row flagged Created outside ASI planning? That appointment was booked in the maintenance planner, not with Plan, so the list cannot always record it. Delete that appointment in the maintenance planner (see Book a vehicle in for a service). Then click Plan on the row, save, and click Mark executed. If it still fails, contact RentVisie support.
Why is a vehicle I know is due missing from the list? Check these in order:
| Check | Where |
|---|---|
| The ASI box on the vehicle form has a date | The vehicle's form; without a date or an appointment the vehicle is not listed |
| The vehicle's Active switch is on | The same form; inactive vehicles are left out |
| It is registered as a vehicle, not as other equipment | Other equipment has no inspection date and never appears |
| No filter is set on a column | The filter boxes under the column headings; clear them |
Why is a vehicle on the full list but not in the daily overview section? The ASI due within 30 days section only shows vehicles that are due within 30 days, or already overdue, and have no appointment yet. The full ASI Overview shows every vehicle with a date or an appointment, planned or not.
Why does a row show 0 in Days and an empty ASI due? The vehicle has an inspection appointment but no inspection date on its form. The 0 does not mean "due today". Enter the date in the ASI box on the vehicle form.
Why does the Planned column show only one appointment when I booked two? The list only shows the latest open inspection appointment for each vehicle. Delete the one you don't need in the maintenance planner.
Why doesn't the list show my location only? It covers every vehicle in the company, whichever location you are set to.
