Introduction
RentVisie can work together with outside services: an accounting package, a payment provider, a customer-screening service, vehicle trackers, a key box and more. The screen headed Integrations is the one place that lists them all. Under the heading sits a grey panel with the note "Below radio buttons are for internal tracking. To disable the integration, make sure to disable the connector from the corresponding setup page." Below that note is one row per service. Each row has a Yes / No choice on the left. On the right it has a Setup button, the words Contact support, or No setup required. Save and Cancel sit at the bottom.
That note is only partly true. Some Yes / No choices really do switch something on or off; others are only a record, and the real switch is on the service's own setup screen. What each switch really does tells you which is which.
You come here when:
- You have signed up with a new service, such as screening or direct debit, and need to enter the details it gave you.
- A tile or tab that a colleague uses has disappeared, and you want to check whether a switch was turned off.
- You just want to see which services your company has connected.
Words this screen uses. Skim this once; the names are suppliers, not features:
| The screen says | It means |
|---|---|
| Rental check | A customer-screening service. It also looks up addresses from a Dutch postcode and business details from a company name |
| Mollie | An online and card payment provider |
| Sendgrid | The service that delivers the emails the app sends |
| Exact | Exact Online, an accounting package |
| Stripe | Another payment provider. Your company cannot set it up from this screen |
| Traci, Conneqtech | Suppliers of vehicle trackers |
| RDW | The Dutch vehicle registration authority (Rijksdienst voor het Wegverkeer), used to look up a vehicle from its number plate |
| Twikey | A direct-debit collection service |
| R2 | A partner system that exchanges vehicle allocations and customer bookings with RentVisie |
| Key cafe | A key box that customers open with their phone. The app also spells it Keycafe and KeyCafe |
| Peppol | The European network for sending invoices electronically |
| External closing | Shows that a booking which came from another system has been closed there |
| Connector | The setup screen behind a Setup button, where the login details for a service are entered |
Use this page to find the right switch. For how each service works, follow the link in its row of the table.
How to use
Configuration
The only setup is the screen itself. The walkthrough is under Using the Integrations screen below.
Before you start: the Integrations screen, every Setup button on it, and the Admin → Settings tile screen it sits on are for the Company admin role only. An ordinary employee account cannot open them. The switches still affect what every employee sees, for example the Keycafe tab on a booking. For most services you also need an account with that supplier, and the login details they gave you, before Setup is of any use.
The first time anyone in your company opens the screen, the app creates your settings. Sendgrid and RDW start on Yes. Every other row starts on No.
Using the Integrations screen
From the main menu, open Admin → Settings. On the Settings tile screen, click the Integrations tile (it has a chain-link icon). The screen headed Integrations opens.
1. Set a service's switch. Choose Yes or No on its row.
2. Enter the service's details. Click Setup on the same row and enter the details the supplier gave you; that window has its own Save. On the Mollie row, use OAuth (beta) rather than Setup; see Take card and online payments. Sendgrid and Stripe are set up by RentVisie support. RDW, Peppol and External closing need no setup.
3. Save. Click Save at the bottom of the Integrations screen. The app shows "Your changes has been saved successfully." Cancel throws away the Yes / No changes you made since the last save and closes the screen. It does not undo details you already saved inside a Setup window.
To switch a service off, check the table below first: for a "record only" row, use Active on its setup screen instead.
Key details
What each switch really does
Skim this table once and come back to the row you need. "Record only" means the Yes / No has no visible effect; the real switch is in the last column:
| Row | Starts as | What the Yes / No does | Real on/off switch, and where to read more |
|---|---|---|---|
| Rental check | No | Real. Yes turns on customer screening, the postcode address lookup and the business lookup together. No switches all three off | This switch. See Screen a customer before renting and Record a customer's address |
| Mollie | No | Record only | is active on the OAuth (beta) screen. See Take card and online payments and Collect invoices by direct debit |
| Sendgrid | Yes | Record only. Emails are sent whether it says Yes or No | RentVisie support. See Set up the emails the app sends by itself |
| Exact | No | Partly real. Yes shows the Unsynced invoices banner on the Financials screen. Invoices are not sent or held back by this switch | is active on your branch's Exact connection. See Send invoices to your accounting package |
| Stripe | No | Record only | RentVisie support |
| Traci | No | Record only | is active in the Traci window behind Setup. See Link a tracker to a vehicle and follow it on the map |
| RDW | Yes | Record only. The number-plate lookup works either way | Nothing to switch. See Find a vehicle's details from its number plate |
| Twikey | No | Record only | Active on the Twikey Connector screen. See Collect invoices by direct debit |
| R2 | No | Record only | Is active on the R2 Connector screen. RentVisie support sets this up |
| Conneqtech | No | Record only | The connector screen behind Setup. See Link a tracker to a vehicle and follow it on the map |
| Key cafe | No | Real. See What the Key cafe switch does | This switch and Active in Edit Key Cafe Connector. See Set up key box handover |
| Peppol | No | Real. Yes shows the Peppol tiles and lets invoices be sent over Peppol. No hides the tiles and stops sending | This switch. See Send invoices electronically over Peppol |
| External closing | No | Real. Yes shows This booking has been closed officially on bookings the other system has closed | This switch. See Handle bookings that come from other systems |
A switch takes effect the next time a screen is opened, and it applies to existing records too.
What the Key cafe switch does
Key cafe is the one row where No is stronger than the note says. It does three things:
- Yes shows the Keycafe tab on a booking. The tab also needs the KeyCafe option switched on for that vehicle type, which Set up key box handover explains.
- Yes shows a Keycafe Actions banner on the daily overview whenever a key-box access needs attention. Its Access overview button opens the list.
- Saving the screen with Key cafe on No switches off your key-box connection. The app sets Active to off in Edit Key Cafe Connector. This happens on every save, even when you only came to change a different row.
An example. Your company uses the key box, but the Key cafe row was never set to Yes. You set Peppol to Yes and click Save. The key-box connection is now off, and a customer collecting keys at 07:30 cannot open the box. Nothing warns you.
What to do next
If your company uses a key box and you have just saved this screen, check Key cafe first. Otherwise, click Setup on the service you switched on and fill in its details, then follow the page linked in its row of the table.
Q&A
Why has the key box stopped opening for customers after someone saved the Integrations screen? The Key cafe row was on No when it was saved, so the app switched the key-box connection off. Set Key cafe to Yes and click Save. Then click Setup on the Key cafe row and set Active back on in Edit Key Cafe Connector. See Set up key box handover.
I set a service to No, so why is it still sending or collecting? Most rows only record what your company uses. Mollie, Twikey, Traci, Conneqtech, R2 and Exact keep running until you switch them off on their own setup screen. Click Setup (or OAuth (beta) for Mollie), set Active or is active to off, and save there. The table under What each switch really does names the switch for each row.
I set a service to Yes, so why does nothing happen? For a row marked "record only", Yes does nothing by itself. Click Setup, enter the details from your supplier, and turn Active on in that window. For Rental check, both are needed: Yes on this screen and the five boxes filled in under Setup.
Why is there no Peppol action required banner on the daily overview, even though Peppol invoices have failed? At the moment that banner appears only when Key cafe is also set to Yes. For example, three invoices totalling €1,240 fail to send over Peppol. With Key cafe on No, the daily overview shows nothing. Check the Issues tab on the Peppol screen under Financials yourself every day. See Send invoices electronically over Peppol.
Why is the Peppol tile missing from Financials and from Admin → Settings? Peppol is on No. Set it to Yes and click Save. The tiles appear the next time you open those screens.
Why is the Keycafe tab missing from a booking? Either Key cafe is on No on this screen, or the KeyCafe option is switched off for that vehicle's type. Check this screen first, then see Set up key box handover.
Why can't I see the Integrations tile, or why does it do nothing when I click it? The screen is for the Company admin role only. Ask a colleague with that role, or see Add an employee and set their permissions.
Why does Sendgrid or Stripe have no Setup button? RentVisie support sets those services up for you. Contact RentVisie support if you need them changed.
