Introduction
What a person sees in RentVisie is decided in three places, and each is changed by someone different:
- Your role decides which items appear in the main menu on the left of the web app, and which tiles sit behind them. Nobody at your company can rearrange that menu.
- Your plan with RentVisie decides which paid extras your company has. RentVisie support switches these on, not you.
- The RV Control settings decide what the companion tablet app, RV Control, shows your staff: which areas it offers, which handover steps it runs and in which order, and which extra checks it includes. A company administrator changes these.
The screen for the third is headed RentVisie Control App, with Configure what you want to see. underneath, and three tabs: Routes, Sections and Features. Each tab holds a short table with a New button above it and a pencil and a bin icon on every row.
You come here when:
- you are starting with RV Control and want to choose its areas and steps
- the handover in RV Control asks for things in an order that does not suit your desk, for example the signature before the damage check
- your company does not sell extras at the counter, so the upsell step only slows staff down
- a colleague asks why their menu has fewer items than yours
Words this screen uses
| The screen says | It means |
|---|---|
| RV Control | RentVisie's companion app for tablets, used at the counter during a handover |
| Route | One main area of RV Control, such as Booking or Transport |
| Section | One step of the handover in RV Control, such as the checklist or the customer's signature |
| Feature | One extra check or option in RV Control, such as the driving-licence check |
| Display | Whether RV Control shows that item: Yes shows it, No hides it |
| Order | Where the item comes in the sequence: lower numbers first |
Every way to change what people see
| What you want to change | Who can do it | Where |
|---|---|---|
| The areas, steps and checks in RV Control | Company administrator | This page |
| Which items appear in your own web menu | Nobody at your company: it follows your role | See Key details below |
| A paid extra on your plan, such as User roles & rights | RentVisie support | Check your company record, plan and limits |
| A tile that belongs to a connection, such as Peppol | Company administrator | Turn an integration on or off |
| The counter tiles on your own daily overview | Each person, for themselves | Change which tiles your dashboard shows |
Use this page for RV Control, or to find out why a menu item is missing.
How to use
Configuration
There is nothing to set up before this screen can be used. The first time anyone at your company opens it, the app creates your company's settings with all three tables empty.
Before you start: the RentVisie Control App screen needs the Company admin role. The Settings entry it sits behind is in the Admin menu, and only a company administrator sees it. Colleagues with Employee or Employee (minimal) cannot open or change these settings, but RV Control still follows them when they use it. A paid extra on your plan cannot be switched on from any screen you can open. For that, contact RentVisie support.
Using the RV Control settings
From the main menu, open Admin, then Settings. The screen is headed Settings and shows a row of tiles. Click the RV Control tile. Its icon is a mobile phone.
- Pick the tab. Choose Routes for the main areas of RV Control, Sections for the handover steps, or Features for the extra checks.
- Add an item. Click New above the table. A small form opens with Display, Order and Feature (the Features tab has no Order). Choose the item in Feature, set Display, type the Order, and click Save. The form closes and the row appears in the table.
- Change an item. Click the pencil icon at the end of its row, change Display or Order, and click Save.
- Remove an item. Click the bin icon at the end of its row. The row disappears immediately. To show the item again later, add it again with New.
Cancel closes the form without saving. Nothing is saved until you click Save.
Skim the table below once and come back to particular rows when you need them. It lists every choice in the Feature box on each tab, spelled as the screen spells it.
| Tab | Choices in Feature | Rule for Order |
|---|---|---|
| Routes | Inspections, Asset management, Carwash, Transport, Customers, Financials, Booking | Any number above 0 |
| Sections | Checklist, Damages | 1 or 2 |
| Sections | Upsells, CustomerKeyDetails | 3 or 4 |
| Sections | CustomerSignature, SignatureEmployee | 5 or 6 |
| Sections | Feedback | 7 or 8 |
| Features | KYC (the identity check), DriversLicense, PricingDetails, KeyCafe (the key box), SelfServiceCheckout, PreSignRentalAgreement | No order |
Worked example. Your desk wants the checklist, then the damage check, key details, the customer's signature and feedback. You do not sell extras at the counter.
| Feature | Order | Display | Result |
|---|---|---|---|
| Checklist | 1 | Yes | Saved |
| Damages | 2 | Yes | Saved |
| CustomerKeyDetails | 3 | Yes | Saved |
| Upsells | 4 | No | Saved, and hidden in RV Control |
| CustomerSignature | 5 | Yes | Saved |
| Feedback | 7 | Yes | Saved |
If you had typed 2 for Upsells, the form would stay open and show Please stay within allowed order range: followed by the allowed range. Upsells can only come third or fourth. You can swap the two steps inside a pair, but not move a step into another pair's place.
You are done when the row shows in the table with your Display value.
Key details
These settings apply to the whole company. Everybody who uses RV Control gets the same set. You cannot give one colleague or one role different routes.
To hide an item, set it to No rather than removing it. A row set to No tells RV Control to leave the item out. A removed row is simply no longer on the list, and what RV Control does then is decided inside RV Control.
Each item can be on a tab only once. A second row for it shows Item already existing under Feature. Edit the existing row instead.
Nothing changes in the web app. These tabs affect RV Control only. For the PreSignRentalAgreement row, see Send the rental agreement for signing.
The web menu follows your role. An item your role may not open is left out of the main menu, not greyed out:
| Main menu item | Employee (minimal) | Employee | Company admin |
|---|---|---|---|
| Operational, Kanban, Scheduler | Yes | Yes | Yes |
| Bookings and everything under it | Yes | Yes | Yes |
| Assets | No | Yes | Yes |
| Customers | No | Yes | Yes |
| Financials, Dashboards | No | No | Yes |
| Release notes | Yes | Yes | Yes |
| Admin (except Security) | No | No | Yes |
| Admin → Security | No | No | Only a super administrator |
A few tiles appear only when a connection is switched on. The Peppol tiles under Financials and Admin → Settings show only when your company has Peppol switched on. See Turn an integration on or off. What sits behind Assets also differs by role. See Sign in to RentVisie.
Paid extras. Of the extras on your plan, only User roles & rights changes what you see in the app. See Control who may change a price or give a discount.
What to do next: once the three tabs are set, open RV Control on the counter tablet and run through one test handover, so any step in the wrong place turns up before a customer is waiting.
Q&A
Why does the form stay open when I click Save? Look under the boxes. Should be positive means Order is 0 or empty. Type 1 or higher. Please fill in means Feature is empty. Please stay within allowed order range: means the number is outside the pair allowed for that step. Check the rule table above. For Checklist and Damages the message gives the range as 0 to 2, but 0 is refused. Use 1 or 2.
I removed a row by mistake. Can I get it back? Not with an undo. Click New on the same tab and add the item again with the same Order and Display.
Why does a colleague have menu items I do not have, or the other way round? Your roles differ. Nobody at your company can change the role an account was created with. Ask RentVisie support, as described in Add an employee and set their permissions.
Why is there no RV Control tile under Settings? You are not signed in as a company administrator. Only that role sees Admin → Settings. Ask your company administrator to make the change.
Why does a screen say "Upgrade required"? That window means the thing you tried is a paid extra that is not on your plan. Close changes nothing. Only RentVisie support can add it. See Check your company record, plan and limits.
I changed a setting here and the web app looks the same. Why? These settings only reach RV Control. To change tiles in the web app, see Change which tiles your dashboard shows for your own overview, or Turn an integration on or off for tiles that belong to a connection.
