Introduction
The change log is the app's record of who saved what, and when. It opens from Admin → Logs in the main menu and covers every booking in one place. Every time a booking is created, saved or deleted, the app writes one row: which record it was, who did it, when, and the value of each of the booking's fields before and after.
The screen has two ways of showing the same rows. Two small buttons sit at the top left: a list icon and a magnifying-glass icon. The list icon, which the screen opens on, gives a list on the left and the details of the row you click on the right. The magnifying glass switches to a table with filters and an export button, with the details underneath.
You would come here when:
- A booking has disappeared from Bookings and you need to know who deleted it and what was on it.
- A customer says the price or the return date was different when they booked, and you want to see what was changed and by whom.
- A price or date on a booking looks wrong and you want to know when it changed.
- You are checking who worked on the bookings this week.
For the history of a single booking that still exists, the booking's own Logs button is quicker; see Correct a booking's details and check its history. Come to this screen when you need all bookings together, or when the booking has been deleted.

How to use
Configuration
There is nothing to set up. The log records automatically, and what it records, the time zone and the date format are fixed for every company. You cannot switch it off or change it.
Before you start: only a company administrator can open Admin → Logs. Nobody can change or delete a row in the log, not even a company administrator. Staff without that role can still read one booking's history from the Logs button on the booking.
Using the change log
From the main menu, open Admin, then Logs. The list view opens.
- Read the list. Each row shows an icon for what happened: a pencil for Change, a plus for Create and a cross for Delete. Next to it are the record type (Rentals.Booking), a line counting how many values changed, and the date. The newest rows are at the top. The search box above the list searches the record type only, so it cannot find a booking number or a name.
- Click a row. The details appear on the right, under the heading Rentals.Booking and the line Reference #. A summary line says how many fields changed, who changed them and when. Below it is a table of fields with the columns Member, Membertype, Old value and New value. Each column has a filter box.
- To search and filter, press the magnifying-glass button at the top. The table has the columns Object, Ref id, Changed date (UTC), Nr. of changes, Changed by and Type. Type part of a colleague's sign-in name in the box above Changed by, pick a date above Changed date (UTC) to see only rows from that date on, or pick Delete in the Type list. Click a row to see its details underneath the table.
- To keep a copy, press Export to Excel above the table. For how exports work, see Export a list or report to Excel or CSV.
- To find out who deleted a booking, switch to the table, choose Delete under Type and click the row with the right date. Changed by gives the person. In the details, filter Member on bookingNumber to check that it is the right booking.
- Press the list button at the top to go back to the list view.
Nothing on this screen changes a booking. You can look and export as much as you like.
Key details
Every save writes a row, even when nothing changed. Each row lists every field of the booking, changed or not. The count only includes the fields that really changed, so a row with a count of 0 is a save where nothing changed. You can skip it.
Worked example. On 8 October 2026 a colleague extends booking 14230 by three days. The return date moves from Friday 9 October to Monday 12 October, and the total goes from €1,000.00 to €1,150.50. The change log gets one new Change row. In its details:

Dates are written month first, American style, and without the time. Amounts drop the euro sign and trailing zeros. A round amount is written in short scientific form: 1E+3 is €1,000, 5E+2 is €500.
What the log leaves out. Before you rely on the log, know what it cannot show you:

What happens when a booking is deleted. Just before the booking goes, the app writes a Delete row with every field's last value, including bookingNumber, the notes and the totals. The booking's earlier Create and Change rows stay too. The booking's own Logs button disappears with the booking, so from then on this screen is the only place its history can be read. Clearing out transactional data deletes bookings the same way. It leaves one Delete row per booking and does not clear the log; see Clear out old data.
Times are in universal time. Changed date (UTC) is in Coordinated Universal Time (UTC). Dutch time is one hour ahead of it in winter and two hours ahead in summer. A booking saved at 14:12 in October shows as 12:12.
What to do next: if the log shows a wrong price or date on a booking that still exists, open the booking and put it right, as described in Correct a booking's details and check its history. If the log shows who deleted a booking, talk to that colleague before recreating it from the values in the Delete row.
Q&A
A booking has gone from Bookings. Can I get it back from the log? No. The log only shows the booking's last values. Create a new booking with Create a booking and copy the details from the Delete row. The new booking gets a new booking number.
How do I find out who changed a branch? You cannot. Branch changes are not recorded, so the log has no rows for them. The branch screen does not show who last saved it either. Ask the colleagues who hold the company administrator role. Branches are covered on Set up your branches.
Why does a changed pickup time show the same old and new value? The log keeps only the date. A change to the time within the same day shows identical values and is not counted as a change. The booking itself holds the right time, so check it on the booking.
Why is a date in the log one day earlier than on the booking? The log uses universal time. A pickup at 00:30 on 4 October, Dutch summer time, is 22:30 on 3 October in UTC, so the log shows 10/03/2026 (UTC).
Why does an amount read 1E+3? That is €1,000 written in short form. 1.5E+3 is €1,500. Amounts that are not round, such as 1150.5, are written out in full.
Why is Changed by empty, or showing an account nobody recognises? The row stays even when the colleague's user account is later deleted, but the name goes, and the summary line then says [unknown]. A save the app made by itself, or one that came in from outside (such as your website), is shown under the account that made it rather than under a colleague.
Why does the time in the summary line differ from Changed date (UTC)? Both say UTC, but the summary line under Reference # can show your own local time. If the two differ by one or two hours, go by Changed date (UTC) and add the hours as described under Key details.
Why do the old and new values of a vehicle change both say 1 reference? For a link to another record, the table only says whether a link was there. It counts as a change, so you know the vehicle (Rentals.Booking_Asset) was swapped, but not from which to which. The booking itself shows the vehicle it has now.
Can I delete or correct a wrong row in the log? No. The log cannot be changed by anyone at your company, which is what makes it a reliable record.
Why is Logs missing from my Admin menu? The screen is for the company administrator role only. Ask your administrator to check your role on Add an employee and set their permissions, or use the Logs button on a booking instead.
