Add your transport drivers and put them on a job

Keeping the list of your own delivery and collection drivers (name and phone) and choosing the driver on a transport — not the customer's extra drivers

Introduction

This page is about your own drivers: the people at your company who deliver a vehicle to a customer, fetch it back, or move it between your locations. They are kept on the screen headed Drivers, a plain list with a Name and a Phone column, a New button above it, and a pencil and a bin icon at the end of each row.

These are not the customer's drivers. A partner or colleague who is allowed to drive a rented car is a customer record, and is added on the customer or on the booking; see Add extra drivers and company contacts for that. Nothing you do on the Drivers screen touches a customer, a booking or a rental agreement.

A driver here is only a name and a phone number. It is not a login: the driver does not get access to RentVisie. Its one job is to be picked in the Driver box of a transport, so that everyone can see who is taking which vehicle where.

You will use this when:

  • a new driver starts and you want to plan them on deliveries
  • you are planning tomorrow's deliveries and collections and need to say who drives each one
  • a driver is off sick and their transports move to a colleague
  • a customer asks who is bringing the van, and you look up the driver's phone number
  • you are checking the transport list to see who has what planned

Use this page to keep the list of drivers and to name the driver on a transport. Planning the transport itself is described in Plan a delivery, collection or move.

How to use

Configuration

There is nothing to switch on. The only preparation is the list of drivers itself, which you build with the steps below.

Before you start: only a company administrator can add, change or remove a driver, and only a company administrator can open a transport to choose its driver. With a normal staff account you can open the Drivers list and search it, and see the Driver column on the transport list, but the buttons to add, change or remove are missing or do nothing. Ask your company administrator if you need to do more.

Using the drivers list

From the main menu, click Bookings, then Show more. On the screen that opens, find the heading Transport and click the Drivers tile, the third tile in that row, after Transport and Transport planner.

Add a driver

  1. Click New above the list. A small window headed Edit driver opens.

  2. Fill in the two fields:

  3. Click Save. The driver appears in the list and can be picked on a transport straight away. Cancel closes the window without adding anyone.

To change a driver, click the pencil icon at the end of their row, correct Name or Phone and click Save. The new name shows on every transport that driver is on, past and planned, because the transport points to the driver rather than keeping its own copy of the name.

To remove a driver, click the bin icon at the end of their row. There is no undo. Read Removing a driver under Key details first.

To find a driver in a long list, type in the search box under Name or Phone.

Assign a driver to a job

  1. From the main menu, click Bookings, then Show more, then the Transport tile under the Transport heading. You can also open a transport from the Scheduler.
  2. Open the transport. The screen headed Transport opens.
  3. In the right-hand block, under Transport status, open the Driver box and pick the driver by name. The box offers every driver on your Drivers list.
  4. Click Save. Nothing is stored until you do: Close throws the choice away.

To take a driver off a transport, clear the Driver box and click Save. To hand the job to a colleague, pick the other name and click Save.

When it worked, the transport list shows the driver's name in the Driver column on that transport's row. You can type a name in the search box under Driver to see everything one driver has planned.

Example. Sanne de Vries starts on Monday as a delivery driver at your Utrecht branch. You click New, enter Name "Sanne de Vries" and Phone "+31 6 12 34 56 78", and click Save. On Tuesday a van, registration VNX-24-K, has to go from the Utrecht branch to a customer's building site in Amersfoort. You open that transport, pick "Sanne de Vries" in Driver and click Save. The transport list now shows her name on that row, and typing "Sanne" under Driver shows her whole week.

Key details

A transport does not need a driver. You can save a transport with the Driver box empty, and Mark as completed works without one too. Nothing warns you that a job has no driver. Before the day starts, look for empty cells in the Driver column of the transport list.

The driver cannot be changed once a transport is completed. After Mark as completed the transport screen is locked, including the Driver box. Name the right driver before you complete it.

Removing a driver. When you delete a driver, every transport they were on, including completed ones, loses its driver and shows an empty Driver cell. The transports themselves stay. If you want to keep the history of who drove what, do not delete a driver who has left; change the name instead, for example to "Sanne de Vries (left)".

The app does not check who is free. You can put the same driver on two transports at the same time. The app does not compare dates, working hours or driving licences.

The driver does not hear about it. Choosing a driver sends no email or text message. Tell the driver yourself.

Q&A

All the transports of a driver who left now show an empty Driver column. The driver was deleted, which clears the driver from every transport they were on. It cannot be restored. Pick a driver again in the Driver box of the transports that are still planned, and next time rename a leaving driver instead of deleting them, as described under Key details.

Two drivers in the Driver box have the same name, and I cannot tell which is which. The box shows the name only. Click the pencil icon on the Drivers screen and make the names different, for example by adding the branch: "Mark Jansen (Utrecht)" and "Mark Jansen (Breda)".

The Driver box on a transport is greyed out. The transport is completed, which locks the whole screen. The driver can no longer be changed there.

I cannot see New, the pencil or the bin on the Drivers screen. Your account is a normal staff account. Only a company administrator can manage drivers; ask them.

I added the customer's second driver here, but they are not on the booking. This list is for your own transport drivers only. Remove the entry with the bin icon, and add the person to the customer instead; see Add extra drivers and company contacts.

Does the driver get a login to see their jobs? No. A driver on this list is only a name and a phone number. Share the transport list with them yourself, or ask your administrator whether your company has connected a separate planning tool.
