Check how many pickups and returns your team has done

The Inspections report under Dashboards: counting pickups and returns over a period of up to a year, seeing who did each one, and why the pickup and return split is not always reliable

Introduction

Every time a vehicle goes out or comes back, someone finishes a handover check on it — RentVisie calls that check the Inspection. The Inspections report lists those checks for a period you choose: one row per check, with who did it, which booking it was for, and the booking's pickup and return dates. It is a report about handovers, not the place where you do one; for that, see Run the pickup inspection and Take a vehicle back at the end of a rental.

The screen is headed Inspections. At the top sit two date boxes, From and To, and a Populate button. Below them is the list itself, with Reset filters and Export buttons above it and a filter box under each column heading.

This screen uses the app's own words for a few things:

You would open it because:

  • at the end of the month you want to know how many pickups and returns the desk handled;
  • you want to see which colleague handed a particular car over, before you ring them about a damage the customer disputes;
  • you want to compare how the work was spread across your team last week;
  • you just want to glance at yesterday's handovers and see that nothing looks odd.

Use this report for counts and names over a period. For today's work still to do — who is coming in, what is due back — use Check your daily overview instead.

How to use

Configuration

There is nothing to set up. The report fills itself from the handovers your team finishes; there are no settings for it anywhere.

Before you start: the Dashboards menu item, and this report, are for the Company admin role only. An employee without that role does not see Dashboards in the main menu at all. If you need the report and cannot find the menu item, ask your company administrator to give you the role — see Add an employee and set their permissions.

Using the Inspections report

From the main menu, open Dashboards. On the tile screen, scroll to the heading Operational and click the Inspections tile (it has a phone icon).

  1. Fill in From and To. Both boxes start empty, and the report needs both. The period can be at most a year — see Key details for exactly where the limit falls and what happens to the last day.

  2. Click Populate. The list fills with every pickup check whose booking went out in the period, followed by every return check whose booking came back in the period. Clicking Populate again, for example after changing the dates, replaces the list rather than adding to it.

  3. Narrow it down with the column filters. Each filter sits directly under its column heading. Reset filters clears them all at once.

  4. Read the count. The list shows 50 rows per page, and the page controls under the list show how many rows there are in total. With a filter set, that total is your count — for example, Inspection type set to Pickup and a colleague's name under Full name gives you how many pickups that colleague did.

  5. Export if you want to work with the figures. Export downloads the list, with the filters you have set, as an Excel file. See Export a report for how the download works.

Worked example. At the end of September you set From to 1 September 2026 and To to 1 October 2026, and click Populate. The list shows 214 rows. You set Inspection type to Pickup and the total drops to 96; you switch it to Dropoff and it reads 118. Typing Sanne under Full name, with Dropoff still selected, leaves 41 rows — the returns Sanne finished in September. Before you pass those numbers on, read the first question under Q&A: how the handover was done changes which type a row gets, and some handovers leave no row at all.

Key details

The dates belong to the booking, not to the check. Checkout date and Checkin date are the booking's pickup and return dates, and both appear on every row, whatever its type. A pickup row therefore often shows a Checkin date that is still in the future — that is simply when the car is due back.

Which rows fall in the period.

The To day itself does not count. To means the very start of that day, so a pickup at 10:00 on the To date is left out. To cover all of September, set To to 1 October, as in the worked example.

The year limit. The period must be shorter than 370 days. 1 January 2026 to 1 January 2027 (365 days) is fine; 1 January 2026 to 6 January 2027 (370 days) is refused with Please select max. period of 1 year. and the list stays empty.

Two identical checks show as one row. If the same employee finished the same kind of check on the same booking twice — for example, a pickup that was finalised again after a correction — the report shows it once.

Q&A

Why does a pickup I did at the desk show up as Dropoff? A handover finished on the Inspection screen of a booking (the Finalise Inspection step) is always recorded with the type Dropoff, whether it was the pickup or the return. Only pickups finished on the mobile app, or by the customer through self-service, get the type Pickup. Because a Dropoff row is placed in the period by its Checkin date, a desk pickup also only appears once the booking's return date falls in your period. And if the same colleague did both the pickup and the return of a booking at the desk, the two identical checks show as a single row. So the Pickup/Dropoff split under-counts desk pickups; to count vehicles that went out, the Pickups figure on Check your daily overview is a safer day-by-day source. Report the mismatch to RentVisie support if you rely on this split.

Why is a return missing that I know happened? Returns finished on the mobile app, or by the customer through self-service, do not add a row to this report; only returns finished on the booking's Inspection screen do. The booking itself is still correct — open it from Bookings → Overview to see its status and return date.

Why do some rows have no name or email? The check was not finished by an employee account — for example, a pickup the customer did themselves through self-service, or a pickup the app accepted on its own. The row still counts; it just has nobody to name.

I clicked Populate and nothing happened, or I got an error. Check that both From and To are filled in, and that the period is under a year. If the message Please select max. period of 1 year. appears, split the period in two and run the report twice.

Why can a colleague not find the Inspections tile? The whole Dashboards screen is only there for the Company admin role. Give the colleague that role under Admin → Company details, or send them an export.

Can I see what was recorded during the check — fuel, mileage, damage? Not here; the report only lists who and when. Open the booking by its Booking number and look at its Inspection tab, or at the pickup and drop-off receipts described in Find the documents the app makes for a booking.
