Good communication is the key to a smooth and professional car rental experience. Many companies already send the basic e-mails such as the booking confirmation and invoice, but there are many more important contact moments that are often overlooked. By informing customers at the right moments, you avoid unnecessary questions and improve their experience. In this blog we discuss the crucial, but often forgotten, e-mails that contribute to a smooth rental experience.

10 e-mails to set yourself apart in customer communication

In the previous blog we named 5 basic e-mails that are essential in the rental process. But did you know there are many more moments where you can make the difference? Below we name 10 e-mails that improve the customer experience. These 10 e-mails are:

1. the payment flow 2. the payment confirmation 3. the update e-mails 4. the extension option 5. the no-show invoice 6. the deposit invoice 7. the cancellation confirmation 8. the feedback e-mail 9. the discount e-mail 10. the 'Happy birthday' e-mail.

1. The payment request (Before the rental period)

When making a booking, a smooth payment experience is essential. If the customer does not pay straight away, a follow-up e-mail with a payment link can help complete the process quickly. You can also use such an e-mail to indicate whether payment can be made before the rental or afterwards as well. You can set this yourself for the period between booking and collecting the vehicle. For example: two days before the vehicle is collected, 50% of the total rental price must have been paid.

📩 Why is it important? This prevents cancellations due to unpaid reservations and gives the customer clarity about the next step. You can also distinguish more easily between paying and non-paying customers.

2. The payment confirmation (Immediately after payment)

As soon as a customer has paid, an automatic confirmation is indispensable. Not only does this give a sense of certainty, it also prevents customers from contacting you unnecessarily to ask whether the payment went through.

📩 Why is it important? Transparency in payments prevents confusion and strengthens confidence in your company.

3. The update e-mails (Between the booking and the collection date)

Depending on the time between the booking and the collection moment, an update e-mail can be valuable. Think of a confirmation that the reservation is still active, any changes to the terms and conditions, or practical information about collection. This is also the perfect moment to send vehicle-specific e-mails. For example: when a van is booked, you include a few handy tips in the e-mail, such as using tarpaulins in the cargo area to prevent damage to equipment.

📩 Why is it important? This helps the customer set off well prepared and prevents last-minute questions or cancellations.

4. Cancellation confirmation (After the booking and before the collection date)

Unfortunately, you will sometimes find that a customer decides to cancel the booking after booking and before collection. In that case, for the administration and for maintaining good customer contact, it is still important to send the customer a confirmation of the cancellation.

📩 Why is it important? Customers have a clear confirmation of the cancellation, which prevents ambiguity and confusion. Despite the cancellation you also maintain a pleasant relationship with the customer, and it improves the customer experience.

5. The extension option and extension confirmation (Just before the end of the rental period)

Sometimes customers want to extend their rental, but do not realise that this needs to be arranged in time. A proactive e-mail with the option to extend easily can offer a solution here.

📩 Why is it important? Customers have more control over their booking, and you prevent unnecessary stress for both customer and rental company.

6. The no-show invoice (When the car is not collected)

Not all customers actually come to collect their booked car. In that case a no-show invoice with a clear explanation of the cancellation terms is necessary. In a later blog we will go deeper into the subject of no-shows and how the right operational software makes the difference.

📩 Why is it important? This prevents misunderstandings and ensures that, as a rental company, you do not lose revenue through last-minute cancellations.

7. The deposit invoice (Before the car is collected)

The deposit invoice is an invoice drawn up for business customers who want proof of the rental to keep their accounts in order. Formally it is not necessary, but there are plenty of customers who do need it. The mistake made by many of our competitors is that it is actually drawn up as an invoice, so that it ends up on the profit and loss account in the books. That is not necessary at all. With us you can generate the deposit invoice automatically, so that it comes out in the form of a statement. This way the accounts and the data stay in order and you can carry on renting out cars without worry

📩 Why is it important? Customers expect clarity about their deposit, and this prevents unnecessary phone calls.

8. The feedback e-mail (A few days after the rental period)

After the customer has returned the car, a follow-up with a feedback request is valuable. This gives insight into the customer experience and helps you improve your service.

📩 Why is it important? Customers feel valued, and you receive valuable feedback that you can use to optimise your service.

9. The discount e-mail (After a positive experience or for a returning customer)

Has a customer rented from you several times or left a positive review? Then this is the moment to offer a personal discount code for a next booking.

📩 Why is it important? This encourages repeat bookings and strengthens the bond with your customers.

10. 'Happy birthday' e-mail

As a good rental company you know how important customer loyalty is. The personal touch you give every customer makes people feel valued. That is why sending a birthday e-mail is a very handy tool in building a bond with your customers. By sending e-mails like this, you set yourself apart from your competitors.

📩 Why is it important? By strengthening the bond with your customer, you increase the chance of customers booking with you more often.
